The Role
To provide high level administrative support against defined procedures, with autonomy over workload to meet business needs. Undertakes a wide range of complex administrative activities and resolves complex queries. May include delegation and monitoring of other´s work.
You will:
Resource planning for local SD teams, handling the field/general email box, maintaining workbook, assigning control numbers
Provide primarily administrative support to the ScanBalt SD team
Be part of the Scanbalt office telephone exchange network as well being part of the virtual telephone exchange team for the ScanBalt to cover all offices.
Have active exchange with Scanbalt SDTA team members and support each other when required.
Preparing MEC contracts (2502) after consultation with SD
Preparing In class contracts (2509) after consultation with SD
Creating quote for contracts in BYD
Buyer role in order to be involved in the Supplier process/invoices
Maintain Works approval, service suppliers’ correspondence
Being RP for Scanbalt projects
Prioritise and process documentation/data/information in accordance with local business requirements and agreed deadlines.
Data filing/entry in accordance with defined procedures.
Deal with queries and build relationships with internal/external clients, as appropriate.
Conduct all activities in line with internal procedures, contractual requirements, cost structures and budget constraints.
Certificates and SD Support
Upon request prepare MEC certificates for major clients - high volume certificates for a particular client
Support the certificate team CEA and WEA upon request
You will need:
Professional administrative education or equivalent
Previous experience in an administrative support role, good understanding of Service Delivery processes
Excellent cooperation and communication skills with own team and with other internal and external stakeholders
Strong customer orientation. Responsive and pro-active.
PC-literate; MS Office. CS 10
Structured and well-organized working style, attention to detail and data correctness.
Proficiency in the English language (spoken and written).
Flexibility as the role develops
