We are looking for a Project Coordinator for Main Component Exchange (MCE) Projects within O&M Projects department, in Integrated Operations in our Business Unit Offshore Wind, a part of the Vattenfall Organization.The Project Coordinator for MCE Projects works as part of Project Management team and do various tasks, but mainly related to our projects categorized as MCE Projects, but also for other projects within O&M Projects.
The scope of work will be for various parts of the assets in all offshore wind farms in Vattenfall, such as but not limited to:Logistics booking, control and follow up, mainly related to replacement of main components for related spares and tools in the different projectsContract call offs and follow up of costs related to main components projectsAll related admin work in SAP system for work orders and material management
Purpose
The Project Coordinator for MCE Projects ensure we have full control of project related activities and that those activities are entered, reflected and followed up on in our SAP system.
Key responsibilities
As Project Coordinator for MCE Projects you will have the following key responsibilities:Take initial dialogue on commercial matters and in complex/severe matters escalate issues to our Commercial Management function.Ensure the material management process is followed for spares/materials used in the project.Book and call off logistic solutions for timely execution of our MCE projects.Register Purchase Requisitions and call offs in SAP.Follow up on incoming invoices vs Purchase Requisitions and calls offs and ensure the quality of the data in our SAP system and on the Work Orders.Monitor and report of projects details.
Monitor performance of obligations of all contracted parties with the support from Project Manager
Key deliverables/activities
As Project Coordinator for MCE Projects you will have the following key deliverables/activities:Ensure and start-up of base data in SAP preparing the project work.
 Align with controller for the setup of investment order number.
 Set up of work order in SAP.Request and check availability and delivery lead time of main component with supplier.Request and arrange logistic/transportation of main component to harbour and do a first time plan for pick-up and delivery.Ensure and plan for the logistic/transportation of exchange frames and special tools.Customs handling with support from our internal customs experts.Do the call off booking and preparation of the jackup BIMCO (contract) based on input from the MCE Project Manager.Create Purchase Requisition for BIMCO, personnel/manpower and tools and run the request all the way until a finished Purchase Orders is in place.
Ensure BIMCO and PO are received and counter-signed by all parties.Ensure and archive all contract documentation in SharePoint and ensure SAP system has all the same up to date in the Work Order for each project (Work Order shall have PO’s, material numbers, etc as correct data items with the WO as the correct cost taker).
Quality control of costs by monitoring and following up on invoices, time used and other expenses ensuring it matches the quotes, call offs and PO’s made and that costs are correctly booked on the Work Order for the project.
Organisation
You and team members from O&M Projects in Integrated Operations and from other relevant departments will form the project team for the different projects.
The role will in the future be working in close relation with central warehouse organisation.Qualifications
As a Project Coordinator in O&M projects you hold the following qualifications:Very good knowledge and experience in SAP system and especially in the modules covering Work Orders, Material Management and with work related to Purchase Requisitions and Invoices.Knowledge and experience in arranging and planning of logistic as well as monitoring and rearranging the planning of the logistic of spares and tools.Knowledge and experience in doing call-offs from framework agreements and dealing with suppliers and logistics sub-suppliers.Knowledge and experience with contract- and commercial management and being used to follow up on costs and scope related to previous call-offs.High degree of self-motivation and ability to work independently.Good interpersonal skills.Has high belief that quality in administration brings value and control for the business.Experience from the Wind Power business is an advantageTeam player with excellent communication skills.Good English language skills, both verbally and written.Ability to work in an international and diverse environment.Well organized and structured work approach.Proactive and can simplify complexity and find a way forward.Ask for help when it is needed.Transparent in your work.Agile and responsive, quick to adapt appropriately to changing situations
